Registration

To log in, an account and a password is required for each user. An account allows individual settings to be made for each user. Personal accounts should not be shared. Please log out at the end of each session.

Settings

A user can adjust the following user settings:

Projects and Studios

All series, data, permissions and settings are displayed according to the selected project and studio. A project consists of one or more studios. Project and Studio can be selected in the upper right corner of each page. A user can perform different actions depending on the permissions he has for the selected project and studio.

Permissions

A user can be assigned different roles for a selected project and studio (for example guest, editor, program planner, studio manager). A role is a set of selected permissions. It is possible to define new roles and assign them to selected users.

Each user should only be given the permissions that he or she really needs. This makes the system easier to use, because a user sees only the actions assigned to the role. It can prevent failures, e.g. deleting a broadcast to which the user is not assigned.

By assigning roles to users, the workflow can be performed by several users with different roles. For example, you can schedule the show while editors can enter the content for their shows.

A user's permissions can be set individually for each project and studio.

User

In the User menu you can edit the user accounts. User accounts can be locked or deleted, you can edit the e-mail address and assign roles to the user account.

Timeslots

The Time Spans menu allows you to assign time spans for each Studio in the project. You can create shows only within the broadcast date ranges of the selected studio. This prevents creating shows outside the defined time slots.

Calendar

The calendar shows all shows and schedules of the series that are assigned to the selected project and the selected studios.

You can select the displayed time range in the upper left corner.

Time windows of the studio are shown dashed.

There are icons showing the status of each show (live, pre-produced, archived, …).

Using the search field you can find a list of broadcasts and schedules that contain the search value.

There are filters to mark conflicts and statuses with different colors.

Series

The series menu gives an overview of all series of the selected project and studio. Series that have not been broadcasted in the past weeks can be displayed by clicking the „Old series“ button.

All editors of a series can edit the shows of a series.

Schedule

Program planning data allows the planning of shows without having to create individual shows for a series separately. Schedule data can be created, moved or deleted in a single step.

Schedule dates can be single dates or recurring dates. Both must be within the time windows of the project and the studio.

The schedule dates are displayed in the calendar. You can only create a program from an existing schedule date. This should be done when the program date has been confirmed to avoid unnecessary editing of the date.

If a program entry has been created, it exists independently from the schedule date. A change of the schedule date after creating a send entry from the broadcast will not be changed.

Types of appointments

1. Single date

Beginning: Date and time of the individual schedule

Duration : in minutes

2. Recurring schedule with fixed interval

Start : the date and time of the start of the first transmission

Duration : in minutes

End: Date of the last episode

Interval: Interval of the repetition (daily, weekly, …)

3. Recurring schedule based on the week of the month

Start : the date and time of the start of the first transmission

Duration : in minutes

End: Date of the last episode

week of the month : from the first to the fifth week of the month

Weekday: the day of the week

every n-th time: If you do not want to use every date of the recurring schedule, you can use the 5th Monday of a month, every other time.

4. Exceptions

If there are several recurring schedules, you can use exceptions to define single or recurring dates on which a broadcast should not take place.

Exception schedule dates are

Exceptions for single events : the planned date will be deleted.

Exceptions for recurring program dates: A single exception is created for the date when the program does not take place.

Additionally, it is possible to create recurring exceptions. Example 1: one schedule every two weeks and one exception schedule every three weeks Example 2: a daily plan for the whole year and an exception plan from the first to the last May.

When editing a send event, click Edit Series.

Create a broadcast event

To create a send event, a schedule for the series must first be created. Select a free time slot in the calendar and create a schedule. Select the date of the schedule in the calendar to create a new broadcast.

When you create a B show, the series template is copied to the show. Once the broadcast is created, the entry can be edited by the editors of the broadcast.

The episode number is automatically incremented if „Count episodes“ is selected in the series template. A broadcast event is marked as a recurring event if the title of the broadcast matches the title of an existing broadcast.

Edit an event

Once a show is created, it can be edited by selecting it under Calendar or in the list of shows under Series.

Description of the event

There are fields for the title, the excerpt, the current topic, a textual description and an image.

There are separate fields for title and excerpt, which can be edited by editors, if the editors do not have the Permission to edit title and excerpt yourself. For general editing, each field can be selected for each role of the permission sets.

Status

The current status of a event can be set to share it with other users. The status can be filtered under Calendar.
